Optimising a workforce of 6,000 to serve over 1 million people

Managing healthcare delivery for a population of over 1 million service users requires more than just clinical excellence; it requires a lean, data-driven workforce. Recently, I had the opportunity to help a large organisation (approx. 6,000 staff members) overhaul their operational efficiency.

1. Data Collection: Recreating the Foundation

The first step was addressing the "how." Legacy data collection methods were creating friction and inaccuracies. By recreating our data collection architecture, we improved effectiveness by 100%. This provided the clarity needed to make real-time decisions based on actual clinical demand rather than estimates.

2. Doubling Capacity per Cohort

Efficiency isn't just about working faster; it's about working smarter. By expanding the group structure per cohort, we managed to accept double the amount of patients per cohort without increasing the burden on individual staff members. This effectively cut waiting lists in half for these specific service groups.

3. Solving the Attendance Puzzle

One of the biggest drains on large-scale healthcare systems is the "Did Not Attend" (DNA) rate. We saw attendance jump from a stagnant 50-60% to an average of 85%. This was achieved through better communication loops and scheduling transparency, ensuring that every slot was utilized to its maximum potential.

4. Sustainability in Action

Transformation shouldn't just be digital; it should be responsible. By minimizing paper waste through these new digital collection methods, we promoted long-term sustainability, saving approximately 0.5 trees annually. While it sounds small, in a massive organisation, these incremental changes build the culture of the future.
